TCT HotelPlan provides services to assist companies with the successful implementation of a fully policy compliant custom-built hotel programme. From hotel RFP preparation and management, including rate benchmarking, rate negotiation and selection of hotels, to rate loading and testing.

TCT HotelPlan focuses on 5 key phases to assist clients to develop a hotel programme that will deliver cost savings whilst ensuring availability in suitable properties.

Planning:
The planning phase focuses on reviewing and developing travel policy, determining actual requirements, cost saving targets, creating timelines and outlining hotel procurement strategies.

Analysis:
The analysis stage allows the team to review the current hotel programme, benchmarking year on year rates, surveying traveller's travel patterns and expenditure and identifying cost saving opportunities.

Implementation:
The implementation phase focuses on hotel RFP (request for proposal) preparation, capturing and validating the data received from hotel, evaluating and re-negotiating rates, and selecting the hotels that match hotel procurement strategies determined at the Planning phase. Clients have the opportunity to accept or reject hotels and determine the final selection of properties within their programme. The rates team also provides a spend analysis to ensure that the Hotel Programme meets the cost saving targets.

Deployment: The deployment phase focuses on preparing the hotels selected during the implementation phase to accept bookings. This involves checking all hotels have correctly loaded rates within their central reservation system and customising hotel information (if required).

Maintenance: Once the hotel programme has been deployed the maintenance phase is critical to the success of the programme. Travel policies are continuously evolving and MI is used to check if usage conforms to expectations. In areas of new usage we carry out hotel recruitment and update the programme as necessary.
